Integrating with Analytics Exchange

Use Analytics Exchange to host Excel files securely and then work with them in Add-In for Excel. You can also run analytic scripts on AX Server from Add-In for Excel.

Open files from AX Server

  1. From the MS Excel, click the Add-In for Excel tab and select Analytics Exchange > Open.
  2. If you are prompted to log in, enter your username and password in the Log In dialog box and click Login.
  3. In the Working dialog box, select the file to open and click OK.

    The Working dialog box displays the contents of collections and folders you have Full permissions or Read only permissions for. You can select Excel (.xls and .xlsx) files and Analytics tables. Analytics tables are automatically converted to Excel files when opened in Excel.

Saving files to AX Server

Open the file

There are three ways to open an Excel file (.xls or .xlsx) in Add-In for Excel:

  • directly in Excel for steps see Open files from AX Server.
  • from AX Client in AX Client, double-click the file you want to edit and ignore the message indicating that you must re-import the file. The file opens in Excel and you can start working.
  • from AX Web Client in AX Web Client, click the file you want to edit and click Save to save the file on your file system. Open the file in Excel and start working.

Save the file

Note

You must have Full permissions for an AX Server folder to save a file to the folder.

  1. From the MS Excel file you want to save (.xls or .xlsx), save the file.
  2. Click the Add-In for Excel tab and select Analytics Exchange > Save.
  3. If you are prompted to log in, enter your username and password in the Log In dialog box and click Login.
  4. To save the file, do one of the following:
    • To save the file to an existing results sub-folder, select the sub-folder in the Working dialog box and click OK.
    • To save the file in a new results sub-folder, select the Results sub-folder, click New Results, name the folder and select it, and then click OK.

      Note

      If you are working with a file that you opened from AX Server, you must save the file to the same location you opened it from using the original file name.

      If the file has been opened or changed by another user since you opened it, a warning appears that includes the username of the user who accessed the file and time the file was saved.

  5. In the Save dialog box, click OK.

Insert links to AX Server items

  1. Open the MS Excel file you want to insert the link in and position the cursor in the exact location you want the link to appear.
  2. Click the Add-In for Excel tab and select Analytics Exchange > URL.
  3. If you are prompted to log in, enter your username and password in the Log In dialog box and click Login.
  4. In the Working dialog box, select the item you want to insert a link to and click Create URL.

    The URL for the item is pasted into the file as plain text. Move your cursor to the end of the link text and press Enter to convert it to a clickable hyperlink.

  5. Save the file locally or to AX Server.

Run analytics from Excel

Run analytics on an ad hoc basis directly from within Microsoft Excel. To run an analytic, you must have Full permissions for the folder containing the analytic.

Note

You cannot schedule analytics from Excel.

  1. Click the Add-In for Excel tab and select Analytic Exchange > Run Analytic.
  2. If you are prompted to log in, enter your username and password in the Log In dialog box and click Login.
  3. In the Working dialog box, select the analytic to run and click Run.
  4. If the analytic requires input values, do one of the following:
    • To use an existing set of input values, click Load Parameter Set, select an existing input value set that includes all the required values, and click OK.
    • To create a new set of input values that gets saved when you run the analytic, enter a name for the new input value set in Parameter Set Name and then enter or select the input values as required.
  5. Click Run.

View the status of an analytic from Excel

View the status of currently running or previously run analytics, or stop currently running analytics.

Note

To view the status of an analytic, you must have at least Read only permissions for the folder containing the analytic. To stop an analytic, you must have Full permissions for the folder containing the analytic.

  1. Click the Add-In for Excel tab and select Analytic Exchange > Analytic Status.
  2. If you are prompted to log in, enter your username and password in the Log In dialog box and click Login.
  3. From the View History By list, select the time period that you want to filter the list of analytics by.

    The analytic End Time is used when calculating which time period an analytic falls into using the time from the server that ran the analytic.

    The today time period is the entirety of the current calendar day. The last 7 days and last 30 days time periods are calculated from the current time to the same time 7 days or 30 days previous — for example, 3:00 pm October 8 to 3:00 pm October 1.

    Note

    Click Refresh to update the list of analytics to the most current status on AX Server. If you are only looking at the history for today, you can also use the Auto-refresh, however this option is unavailable for any other View History By period.

  4. Locate the analytic you want to view the history for using the Start Time, Analytic, Collection, and Folder columns.
  5. Check the Status column to determine if the analytic ran successfully or not.
  6. If you want to stop a currently running analytic, click the Stop link in the Stop column for the analytic.

    The Stop link does not appear if you do not have “Full permissions” for the analytic.

  7. If you want to view additional details about an analytic, select the analytic and click the Details tab.
  8. Click OK to exit the Analytic Status dialog box.
