Managing folder items

Folder items are the working content of audits and the reusable content of approved audit collections or programs.

Note

You must have Full permissions for the containing folder to alter a folder item in any way.

Folder item types

Folder items include a wide range of Analytics and non-Analytics resources including:

  • Analytics projects and analysis apps
  • data tables
  • supporting documents

Open a non-Analytics folder item

  1. From the Server Explorer, select the item to open and then from the menu, select File > Open.

    To open an Analytics item such as a project, analysis app, or table, you must export it. For more information, see Exporting folder items.

  2. In the Open dialog box, click OK.

Result the item opens in its native Windows application and you can view the contents of the file. If you want to make changes to the file and save them on AX Server, you must save the file locally and re-import it into AX Server. For more information, see Importing folder items.

Note

If you are using Add-In for Excel, you can save Microsoft Excel files and changes are saved on AX Server. The notification about losing changes made to temporary files does not apply in this situation.

Copying folder items

Copying Analytics projects

While the Analytics project file and individual analytics are copied, you must copy the following project-related items individually to duplicate them:

  • tables in the Data sub-folder
  • log files
  • related files

Copying analytics

When you copy one or more analytics, a new Analytics project is generated in the destination folder to contain the pasted analytics.

Copy a folder item

Tip

You can also use keyboard shortcuts or the Server Explorer context menu to complete this task.

  1. From the Server Explorer, select the item to copy and then from the menu, select File > Copy.
  2. To paste the item in a folder in either the Working directory or the Library, do one of the following:
    • To use the default destination sub-folder, select the destination folder and then from the menu, select Edit > Paste.
    • To use a specific sub-folder, select the destination sub-folder and then from the menu, select Edit > Paste.

      If the sub-folder is invalid for the item type you are copying, Paste is disabled.

    • To create a linked table or analytic, select the destination folder and then from the menu select Edit > Paste Link.

    If an item of the same name exists in the destination, select Yes to overwrite the item or No to cancel the copy.

    Caution

    If you overwrite a table that has a source data file on AX Server with a table that does not have a source data file such as a layout, the data file is deleted. Use caution to ensure that you do not unintentionally delete source data files.

Moving folder items

Moving Analytics projects

When you move an Analytics project, only the project file is moved.

Moving analysis apps

When you move an analysis app, the project file and individual analytics are moved.

Moving associated project items

You must move the following project-related items individually to transfer them:

  • tables in the Data sub-folder
  • log files
  • related files

Move a folder item

  1. From the Server Explorer, select the item to move and then from the menu, select File > Cut.
  2. To paste the item in a folder in either the Working directory or the Library, do one of the following:
    • To use the default destination sub-folder, select the destination folder and then from the menu, select Edit > Paste.
    • To use a specific sub-folder, select the destination sub-folder and then from the menu, select Edit > Paste.

      If the sub-folder is invalid for the item type you are copying, Paste is disabled.

    If an item of the same name exists in the destination, select Yes to overwrite the item or No to cancel the move.

    If you overwrite a table that has a source data file on AX Server with a table that does not have a source data file such as a layout, the data file is deleted. Use caution to ensure that you do not unintentionally delete source data files.

Rename a folder item

  1. From the Server Explorer, select the item to rename and then from the menu, select File > Rename.
  2. Enter a name that conforms with the following naming restrictions and then press Enter:
    • name is unique in the containing sub-folder
    • name has the correct file extension suffix to open in the default Windows application
    • name does not contain any of the following characters: / \ : * < > | .

Delete a folder item

Tip

You can also use keyboard shortcuts or the Server Explorer context menu to complete this task.

  1. From the Server Explorer, select the item to delete and then from the menu, select File > Delete.
  2. In the Delete dialog box, confirm the deletion.
