Sending and viewing attachments

Send an attachment in a message to share content with other people in private or group conversation.

Prerequisites

  • To be able to attach files, Attach files must be enabled in the Admin-controlled settings.

  • Downloading and previewing an attachment is only available if Secure attachments is not enabled in the Admin-controlled settings.

  • Files must not exceed the Max file size limits set in Diligent-controlled settings.

  • For recipients of an attachment on an iOS device the format must be one of the following:

    • Microsoft Word (.doc, .dot, .docx, .docm, .dotx, .dotm, .rtf

    • Microsoft Excel (.xls, .xlt, .xlsx, .xlsm, .xltx, .xltm, .xlsb)

    • Microsoft PowerPoint (.ppt, .pot, .pps, .pptx, .pptm, .potx, .potm, .ppsx, .ppsm)

    • Adobe PDF documents (.pdf)

    • Image files (.jpg, .png, .gif)

Send an attachment

  1. Go to your conversation and select attachment icon .

    The file explorer on your device opens, where you can select the files you want to attach.

    Tip

    You can also drag files on your device and drop them into the message.

  2. (Optional) Enter a message to send with your attachments.

    • Attached files appear above the message field.

    • Select the X button to remove an attachment.

  3. Select the send icon .

    The attachments will be delivered to the conversation as part of the thread and can be downloaded unless Secure Attachments is selected in Settings > Admin-controlled settings.

View an attachment

There are two ways to view attachments sent in a conversation: either from the message directly or in the list of attachments.

Note

Downloading and previewing the file is only available if Secure attachments is not enabled.

From the message

  1. Go to your conversation and select the attachment.

    An option to download the attachment appears.

  2. Select the download icon at the top of the file.

    The attachment downloads to your device.

From list of attachments

  1. To access the attachments linked to a conversation, select the info icon .

    A Details panel opens.

  2. Select the arrow icon next to View Attachments to open the list of attachments.

  3. Select the attachment you want to view.

    The attachment is downloaded to your device.

    Note

    Attachments that have expired in accordance with your organization's expiration scheduling are no longer available, and do not appear on the list.

  4. To search for attachments, enter your criteria in the Search field.

    Results are exact-matches to the criteria entered, searching file names and formats within the current conversation.

  5. To sort or filter attachment, select Sort and choose from the menu.
