Approving and unapproving documents
Documents must be in an "Approved" state in order to be visible to directors, even when a book has been published. Documents can be switched between "Approved" and "Unapproved" as needed, and are set to "Unapproved" by default when initially added to the book.
-
To approve a document, select its Approve button.
-
When approving an agenda, you can use the Send notification toggle switch to manage email notifications to users with a board email that alerts them about the updated version. Your selection is saved at browser level for future agenda updates.
Note
Only one email is sent per user per site within a 2-hour window while the book remains published. If multiple agenda updates occur during that period, all relevant updates will be included in a single email with direct links to each revised auto-agenda.
-
To quickly approve all documents in a book, select the More options icon
to the far-right side of the book title. -
Select Approve all documents.
-
To revert a document to a hidden status, select the More options icon
at the far right of a document's row. -
Select Unapprove. The document is hidden to all directors, even if the book has been published.
-
To revert all documents to unapproved status, select Unapprove all documents from the book menu.
-
To permanently remove a document from the book, select Delete from its document menu.
