Replacing documents
This topic describes how to replace outdated documents with new or updated ones, without the need to manually delete the old document.

To view document replacement options, select the More options icon
on the far right of a document's row.

To replace the selected document with a new one, select Replace, then select a new file to upload. Once the new file has been uploaded, the original one will be deleted.

To access the optional Mark as Revised and Note Saver features, select Replace with options instead of Replace. You will first be prompted to upload a new file, and will then be able to access the options below.

The revised document will be automatically included in the Update History list for directors and marked as revised. To not include the document, select the Mark as Revised option to disable it.

To include a note in the Update History list, you can enter text in the Public comment field.

To automatically transfer director annotations from the old document to the new one, select the Move notes/annotations to new document option in the Note Saver feature. The new document must have the same number of pages, page size, and page orientation as the old one.

If the new file name is the same as the original file name, the Move notes/annotations to new document switch will be enabled by default.

If Note Saver is enabled for your site, but you do not use this option when replacing a file, the Note Saver feature will automatically create copies of any replaced annotated pages for your board members. They will be able to view these removed pages and move notes and markups back into the book as needed.

Note Saver is an optional feature that must be enabled for your site. Contact your Customer Success Manager for more information.

To begin uploading the replacement document, select Upload.

These functions are also available by selecting a file from your computer, holding it, and then dragging it onto the appropriate area of the document to be replaced: Replace, on the left, or Replace with options, on the right.

If you are replacing a document with an Excel file, the Replace with Options function includes an Include all worksheets option, allowing you to choose whether to upload all worksheets, or only the currently active worksheet.
