Converting documents to PDF
Converting a document to a PDF will usually reduce the overall file size while retaining any graphics and custom fonts contained in the document. Converting to PDF optimizes documents meeting the below criteria for upload and viewing in Boards:
-
Large file sizes exceeding 10 — 12 MB
-
Documents with custom fonts, characters, or symbols that are not standard to Microsoft Office
-
Documents with embedded video or Flash content
-
Documents that need to be broken up or do not need all pages uploaded
-
Documents that are not converting properly in Boards
-
Select File in the upper-left corner of your Microsoft Office document.
-
If you want to convert the entire document as-is, just choose Save as Adobe PDF and skip to Step 8 on the next page.
-
If you'd like to select certain pages to convert and view other conversion options, select Print.
-
Select the Dropdown arrow on the selected printer option to open a dropdown list.
-
Choose Adobe PDF.
Note
There may be other PDF options that appear in this list, depending on the software installed on your PC. These print drivers should work similarly to Adobe PDF, but the same result is not guaranteed.
-
(Optional) Under Settings, you can adjust options like the print range to specify which pages to convert to PDF. If converting an Excel document, you can choose whether to include just the active sheet or the entire workbook. You can also adjust conversion document page margins under Settings.
-
Select Print.
-
In the Save As window, confirm or edit the name of your PDF file and the location to save it, then select Save.
Note
You should notice a considerable reduction in the new PDF file size, especially for larger files. If the PDF is still too large (over 10 — 12MB), follow the directions in Step 6 to create multiple smaller PDF files by only converting several pages at a time. When creating a tab in your book, you can create multiple placeholders for each file section and name them accordingly. The document will read as one file to the user.
