Optimizing scanned PDF documents

Scanning PDF files can reduce text quality, remove native indexing in text, and change document orientation. To optimize scanned documents for Boards, we can use built-in Adobe features to rotate documents to their original orientation, and to make the text searchable.

Rotating Documents

  1. Open the scanned PDF in Adobe Acrobat Pro or a similar PDF editing program.

  2. Scanned PDF file output typically defaults to a portrait orientation, so scanned documents meant to be viewed in landscape orientation need to be rotated before uploading.

  3. If the Tools menu is not already displayed to the right of your document, select Tools in the menu bar.

  4. Select Organize Pages.

  5. Use the rotation arrows on the page thumbnail or in the menu bar to rotate the necessary pages to their proper landscape orientation.

  6. If you'd like to view your document in its full size again, select the X.

  7. Otherwise, save your document. It is now ready to be uploaded to Diligent Boards in its intended, readable orientation.

Enable Searching in Text

  1. Select Tools in the menu bar (if the Tools menu is not visible to the right of your document).

  2. Select Enhance Scans.

  3. In the top menu bar, select Recognize Text.

  4. Select In This File.

    Note

You may also choose In Multiple Files and follow the on-screen directions to make text searchable for other PDF files.

  5. Select Recognize Text. Your text will be made searchable, both in the PDF document and when uploaded.

    Note

To test the success of the text conversion process, press Ctrl + F on your keyboard and type in a word from the document. If Adobe is able to locate the word, the text recognition and conversion was successful.

  6. Be sure to save your document before uploading.
