Optimizing scanned PDF documents
Scanning PDF files can reduce text quality, remove native indexing in text, and change document orientation. To optimize scanned documents for Boards, we can use built-in Adobe features to rotate documents to their original orientation, and to make the text searchable.
Rotating Documents
-
Open the scanned PDF in Adobe Acrobat Pro or a similar PDF editing program.
-
Scanned PDF file output typically defaults to a portrait orientation, so scanned documents meant to be viewed in landscape orientation need to be rotated before uploading.
-
If the Tools menu is not already displayed to the right of your document, select Tools in the menu bar.
-
Select Organize Pages.
-
Use the rotation arrows on the page thumbnail or in the menu bar to rotate the necessary pages to their proper landscape orientation.
-
If you'd like to view your document in its full size again, select the X.
-
Otherwise, save your document. It is now ready to be uploaded to Diligent Boards in its intended, readable orientation.
Enable Searching in Text
-
Select Tools in the menu bar (if the Tools menu is not visible to the right of your document).
-
Select Enhance Scans.
-
In the top menu bar, select Recognize Text.
-
Select In This File.
Note
You may also choose In Multiple Files and follow the on-screen directions to make text searchable for other PDF files.
-
Select Recognize Text. Your text will be made searchable, both in the PDF document and when uploaded.
Note
To test the success of the text conversion process, press Ctrl + F on your keyboard and type in a word from the document. If Adobe is able to locate the word, the text recognition and conversion was successful.
-
Be sure to save your document before uploading.
