Workflow roles explained

There are several different account types and roles available within Secure Meeting Workflow. Members of an organization require a Diligent Data Room (DDR) account to be able to use the system and depending on their role, some will also require a Diligent Boards account.

Role

Responsibility

Organization administrators

  • Assigned as Administrators on their DDR account. For more information, go to About the Organizational Administrator role .

  • Create user accounts, Personal and Team Data rooms.

  • Manage Flow user groups.

  • Create Flows installations and assign the first Flow manager.

  • Assign security policies and external identity providers for the organization.

  • Add Flow installations to the DDR organization and define who can configure these Flow installations.

Flow managers

  • The first Flow manager is assigned by the Organization admin.

  • They are responsible for configuring and activating meeting Flow installations and can add other Flow managers.

  • They can also be Administrators.

  • Permission settings within a Flow installation: Users who can configure this Flow installation.

    • Must have a user account with a personal data room in DDR linked to their Administrator account in Diligent Boards

    • Must be Data room managers in the Team Data room assigned to the Flow.

Administrators

(Not to be confused with Organization Admins)

  • They start the meeting Flow to set the agenda, and collect and prepare documents for the meeting in Secure Meeting Workflow, before transferring them to Diligent Boards.

  • Permission settings within a Flow installation: Users who can start a Flow with this configuration and Users who co-manage the meetings

    • Must have a user account with a Personal Data room in DDR linked to an Administrator account in Diligent Boards.

    • Must be members of the Team Data room assigned to the Flow.

    • Must be members of the Owner group in the assigned Team Data room..

    • Alternatively, they must have the following item permissions on all folders that their Flows access in the team room: View item, Download file, Create and update item, Modify item, Delete an item, and Use 'Send link' to share items. Data room manager

  • The role exists within the DDR Team Data room.

  • They manage the user accounts and user groups assigned to that team room.

  • They manage security policies and contents of their data rooms.

Note

At least one Team Data room is required for the Flows to work

Contributor

  • This is any person who delivers, reviews, or approves documents for a meeting.

    • Must have an DDR user account with a Personal Data room.

Directors and Executives or board members

  • Must have a user account for Diligent Boards so they can read and review meeting materials.

  • Can also have an DDR user account, but this is optional.

  • Board officer used in the interface to refer to a job role that someone may have in an organization that involves managing the meetings for a board, committee, or leadership team.

    • This job role is equivalent to the Administrators role in Diligent Boards.

Note

The Flow manager and Administrator roles are based on permissions within Flow installations and can be combined or kept separate as needed. Specified users can be Flow manager and Administrator at the same time.
