Generate grant notices
This section explains how to create a grant notice document through Workflow screen in Diligent Equity
Diligent Equity enables you to conveniently generate grant notices and manage the signature process for multiple grants at one time.
-
Navigate to the Workflow tab on the Navigation Bar and select the Grant Notices Workflow option.
Note
All grants that are not marked as Grant Notice Signed in the Option Plan will appear in this workflow.
-
Select the Grant Notice Template you want to use. Your account can have multiple Grant Notice Templates added, so be sure that you are using the correct form. Go to Create grant and exercise templates.
-
If you are papering all of the approved grants, select the top check box. Otherwise, check the box next to each individual grant that is to be generated at this time.
-
Select Generate grant notice (you will have to save the cap table as a record beforehand, see Save drafts and records).
-
The status of the grant in the workflow will change to Notice Generated. Select Manage notices. The screen will change to the Documents screen, where you can manage the delivery and signature of the grant notices.
-
Find the newly generated Grant Notice under the Documents screen- if you generated multiple notices at once, use the filter functionality as needed. Click into the document name to open the Document Signature Wizard.
Note
By clicking on the 3 dots button on the left, you can Preview your merged grant document, Download the document for editing or distribution, Upload a grant document to save in your records, or Delete a grant document, respectively.
-
After verifying the details for the Grant Notice in the Details screen of the Document Signature Wizard, click into the Signatures tab.
-
If the Optionee's email has already been added to their Holding Details, it will populate in the Signing Optionee Email Field. Verify the email that shows to ensure delivery to the correct recipient. Additionally, verify the email set up for the Default Company Signer and set the Signing Preference.
-
Select Send to send the electronic grant notice to Optionee and company signature. Both individuals will receive a link from DocuSign that directs them to the Grant Notice.
After both parties have signed the Grant Notice, the completed copy will return to Diligent Equity and be provided to the Optionee via email.
Diligent Equity will send reminders every 3 days for Grant Notices that have not been completed.
