Document Sharing: Select a user in Diligent Entities

The Document Sharing feature has been designed to allow for the sharing of documents between Diligent Boards and the Entitäten app.

The Document Sharing feature provides a means of securely sharing information between the two applications and enables users to extend the distribution of Diligent Boards documents to stakeholders outside of the immediate organisation (for example, Auditors).

Enable Document Sharing

To share a document from Diligent Boards to Diligent Entities, the Document Sharing feature will need to be enabled within both applications.

Select a user to receive documents

Once the Document Sharing feature has been enabled for you, a specific user will need to be selected in order to receive a document. This can be the same user across both systems (A → A, for example), or a separate user (A → B). Selecting a specific user prevents other individuals on the same system, who do not have the necessary rights in place, from accessing the shared document.

Once you have been assigned the Document Sharing feature, to select a user to receive the document:

• In Diligent Entities, navigate to System Tools > User Security > Users.

A list of existing users will display.

• Scroll through the list to locate the required user and select the related Folder button against their listing.
• The User Preferences wizard opens.

• Select the Change User's 'My Record' option.
• Select Next.

The My Record screen displays.

• If the required user has an existing individual record, select Search to select it.

The name and Quick Reference of the selected user display above the search fields.

• Select Finish to save the changes and close the wizard.
