Create an approval for a BoardEffect library file

You can create an approval, which enables users to review and vote on a document before you add it to a Meeting Book. This topic describes how to create an approval.

  1. Select Libraries on the top right.

  2. To open a workroom library, select the workroom name on the left side of the dialog box.

  3. Select a folder name to view files.

  4. To create an approval, first select the arrow on the right side of a file, and then select "Approvals" from the menu. The New Approval dialog box appears.

  5. You have options to customize your approval. To allow users to add comments, select the checkbox next to Allow Comments.

  6. To require users to sign their name when they submit their approval, select the checkbox next to Require Signature.

  7. To update your approval message, you can enter text in the Question field. The message will be visible to users after you send the approval. We recommend adding a message or question specific to the file, so users can easily identify the content they are approving.

  8. To save your changes, select Submit.

  9. To add users to the approval, select the add icon next to their name.

  10. To send the approval, select Close.

  11. You can view an approval icon next to files in the libraries that contain an approval.

    Note

    If you edit an approval, or make changes to a file that is part of an approval document, any existing signatures will be erased from the approval document. This ensures the validity and authenticity of the approval document.
