Using workrooms in BoardEffect

Workrooms are central work areas on the BoardEffect platform where Board members can prepare for meetings, review materials, and collaborate on activities specific to a Board or Committee.

  1. Select Workrooms on the Navigation Bar on the left of the BoardEffect home page. The list of your Boards and Committees display.

    Note

    The list of Boards or Committees that display on the Workrooms menu on the Navigation Bar depends on your current workroom Membership. If you do not see a Board or Committee listed where you are an active member, contact your system administrator.

  2. Select the name of the relevant Board or Committee to open its workroom. The workroom home page displays.

  3. The workroom home page is organized into the Workroom Tab at the top, holding the following tabs:

    •  workroom Home

    •  calendar of Events

    •  workroom Library

    •  Collaborate tools

    •  workroom Members

  4. The other main area of the workroom home page is the News, My Upcoming Events, and Activities section specific to the Board or Committee.

Workroom tab

The workroom tab at the top holds the following options:

  •  Home – Select this tab to view the Welcome message and important News or announcements relevant to your Board or Committee. You can also return to workroom home page from any page within the Board or Committee workroom when you select the Home tab.

    Note

    In addition to the workroom Tab, the Welcome message, and News, the other sections only display in the workroom home page when you have pending action items assigned to you.

  •  Events – Select this tab to view My Upcoming Events related to your Board or Committee.

    Select Open Calendar to open the calendar view of all events for the workroom, including past or upcoming events.

    Select Export to export or subscribe to events. Alternatively, select the Options icon on the bottom right of this section to export the events to your Outlook or Google calendar.

    Select the name of the event to access the full event card and take further actions, for example, download the Meeting Book for the event.

    Select Open File to download the meeting materials and files.

  •  Library – Select this tab to access the workroom Library of your Board or Committee. The workroom library holds required and supporting meeting-related documents organized into the following categories: Meeting Books, Handbooks, and Other Files.

    Select one of the file categories to view its content. You can view the items in Meeting Book Viewer or download them as PDF.

    You can also perform an Advanced Search of the library items by name, event date, or the date an item was created or published.

    From here, you can also select to view the workroom Minutes that are finalized or are waiting for your review.

  •  Collaborate – Select this tab to access the workroom collaboration tools specific to your Board or Committee. The following tools are available: Scheduler, Polls, Surveys, Discussions, and Tasks.

    By selecting the relevant tool, you can respond to scheduling requests or provide feedback and suggestions through polls, surveys, and discussions.

    You can also respond to tasks assigned to you. Additionally, you can create Task Groups and assign tasks to other Board Members. You can manage the tasks you have created, including viewing and analyzing results. You can also edit, delete or copy tasks for future use.

    Note

    The action items that are listed under each collaboration option also determine what sections display in your workroom home page.

  •  Members – Select this tab to view the Members list assigned to your Board or Committee workroom.

    Select Message Workroom to send a message directly from the workroom to the workroom Members, individually or grouped by categories.

    Use the members list to look up each member's name, email address, and their role on the Board or Committee. If a workroom member serves as Chair or is assigned workroom administrator or system administrator role, an icon displays on the member's row in the Status column as follows:

    • Chair icon  Chair – Chairs the meeting.

    • Workroom Administrator icon  Workroom administrator – Creates and manages activities in a workroom, including news, events, collaboration options, and members list, depending on permission settings.

    • System Administrator icon  System administrator – Oversees all activities and permissions in a workroom and in BoardEffect, including Site Settings.

    • Select the Options icon to the far right on a member's name to view their profile or contact them through a secure message from the BoardEffect platform.

News, my upcoming events, and activities

This area is similar to the main display area of your BoardEffect home page, except that it only holds information and activities related to the workroom of the selected Board or Committee. To learn more about each section on the main display area, refer to Board Members: Navigate the Home Page.
