Setting Up Users: Configuring Reviewer and Managed By Field for Companies
When undertaking a Company Review, there are two User Defined Fields in Company Details, Reviewer and Managed By, that can be used to simplify the process of sending out Reviews. These are the Users that receive the Review and the Users that receive the completion emails.
When these fields are populated for all Entities to be included in the review, the fields can be used in the Review Setup. (refer to Review Configuration: Setups)
The Reviewer and the Managed By fields can be amended within the Entities themselves via the (Company) Entities Details page, under the Management section, or they can be Batch updated from the Company Search.
You can also assign Delegates to the Reviewers. An unlimited number of Delegates can be assigned to a Reviewer, but it is not necessary to assign any Delegates to a Reviewer.
All Reviewers, Managed By persons and Delegates must have their contact details attached to their User Account within the Blueprint OneWorld System in order to receive email notifications. To check that these details have been entered, go to:
- System Tools > System Security > Users
The following page will then be displayed.
If the email column has the Users email address entered, you do not need to amend their details. If an email address is not present, you can add it by:
- Selecting the
icon in the Email field. - Typing the address into the field.
- Pressing ENTER.
- Repeat this with ALL Users who you want to be Reviewers, Managed By persons or Delegates.
Once you have confirmed who your Reviewers and Managed By persons will be, you can assign Entities to those persons.
Specifying a Reviewer for Entities
To specify a Reviewer for a selection of Entities:
- Go to the relevant Search screen (i.e. Company Search).
- Search for the Entities the Reviewer will be responsible for (for example, US Companies).
- Select the Wizard.
- Select More Wizards > Review Manager – Update Reviewer.
- The Review Manager – Update User UDF (Plug-In) Wizard will open.
- In the first dropdown list, select Company – Review Manager: Reviewer.
- In the second dropdown list, select the name of the Reviewer from the list of Users.
- If you want this Reviewer to apply to all the Entities you brought on screen, leave the Apply to Unassigned Only? checkbox unselected.
- If you want this Reviewer to apply only to those Entities that currently do not have a Reviewer, then select the checkbox.
- Select Next.
- Select Finish.
You now have specified a default Reviewer for your selected Entities. Repeat the process until all the Entities have the correct Reviewer assigned to them.
Specifying a Managed By Person for Entities
To specify a Managed By person:
- Go to the relevant Search screen (i.e. Company Search).
- Search for the Entities the Reviewer will be responsible for (for example, US Companies).
- Select the Wizard.
- Select More Wizards > Update User Field.
- The Review Manager – Update User UDF (Plug-In) Wizard will then open.
- In the first dropdown list, select Managed By.
- In the second dropdown list, select the name of the Managed By person from the list of Users.
- If you want this Managed By person to apply to all the Entities you brought on screen, leave the Apply to Unassigned Only? checkbox unselected.
- If you want this Managed By person to apply to only those Entities that currently do not have a Managed By person, then select the checkbox.
- Select Next.
- Select Finish.
You now have specified a Managed By person for your selected Entities. Repeat the process until all the Entities have the correct Managed By person assigned to them.
User's My Record – Individual Review
Users due to participate in the Individual or Appointee Review process should be set up with a Blueprint OneWorld User ID. The User ID will have to be updated as described below.
- Open System Tools > System Security > Users.
- Select the designated User and use the Folder icon to open the User Preferences.
- Select the option Change User's 'My Record' and select Next.
- Connect the User to an Individual record (i.e. the Individual whose Appointments must be verified, in this case their own Individual record) by using the Search option. Select Next and then Finish to close the User Preferences.
