Managing documents in Diligent ESG

  • In the Diligent ESG toolbar, select Documents and select Documents to open the Document management screen.

In Document Manager, you can save documents related to your organizations greenhouse gas emissions, sustainability and energy management, such as:

  • Environmental permits

  • Climate Change Agreement (CCA) permits

  • Climate Change Levy (CCL) permits

  • European Union Emission Trading Scheme (EU ETS) permits

  • Tip

    To help when searching for activities or supplies that CCA, CCL, EU ETS, or other similar permits cover, go to an activity’s General Settings section and enter the permit number in the Activity Name field.

  • Renewable energy certificates

  • Invoices

  • Supplier statements

  • Purchased allowances documentation

  • Specified facilities certificates

  • Electricity Generating Credits (EGC) documentation

You can add the following document formats:

  • Excel

  • Word

  • PDF

  • PowerPoint

  • JPEG

  • PNG

Note

The maximum document size is 11.09 MB. Compress larger files before adding them.

Adding a reference document

  1. In the Diligent ESG toolbar, select Documents and select Documents.

  2. In the Document Manager organizational tree-view, select the building you want to add a document to and select Add New Documents.

  3. Select Browse and select the document that you want to add.

  4. In the Description field, enter a description of the document and select Save. You can assign tags later. For further information, go to Adding tags to a reference document

  5. (Optional) Select a reference document and select Download Document to download it locally.

  6. (Optional) Select a reference document and select Delete Document to delete it from the system.

Adding tags to a reference document

You can add and assign tags to reference documents using Document Manager. You can use a tag to quickly search for the document using the tag in the search bar.

Adding tags to a new document

  1. In the Diligent ESG toolbar, select Documents and select Documents.

  2. Select Manage Tags.

  3. Select Add new record, and enter the required tag, for example, supplier information or EU ETS Permit, in the field.

  4. Select Insert and select Close at the bottom of the window.

Assigning tags to an existing document

  1. In the Diligent ESG toolbar, select Documents and select Documents.

  2. Select a reference document and select Edit Document.

  3. In the Assign tags field, select the checkboxes beside the tags that you want to assign a tag to that document.

  4. Select Save when finished.

Changing organizational location of a document

  1. In the Edit Document window, select the Organisation Node dropdown and select a new location to change the organizational node that the document is attached to.

  2. Select Save when finished.
