Defining report data with Views

Learn how you use Views to define report data.

What is a View?

A View is a component that defines the categories and fields from Diligent One that you can use to build a report. Fields are specific columns of data and categories are logical groupings of fields within a View.

How it works

Views are pre-assembled by Diligent. You can only report on the fields provided in a View. To report on fields from different Views, you need to create multiple reports, and then add them to a single dashboard. 

The following diagram illustrates a report that has been built using the Issues View. The Issues View contains a series of categories (Projects, Objectives, and Issues), and each category contains a logical grouping of fields.

Notes

  • Interface terms are customizable, and fields and tabs are configurable. In your instance of Diligent One, some terms, fields, and tabs may be different.
  • If a required field is left blank, you will see a warning message: This field is required. Some custom fields may have default values.

Gather information about Views

You can gather information about each available View in the Reports app to verify that the View is generating the expected output, and see which reports have been built using certain Views.

Steps

  1. Open the Reports app.

    The Browse page opens.

  2. Click Create > Report.
  3. Search, sort, or filter Views:
    • To search for a View, enter a keyword in the Search box.
    • To sort Views alphabetically, by recent use, or by favorites, click the View, Recent Use, or column header.
      Note

      The Advanced options are not supported.

  4. Hover your mouse over the appropriate View, and click More Details.

    The View Summary dialog box opens.

  5. Click on any of the following tabs to gather information about the selected View:
    • General provides summary information about the View and the option to download the information as a .doc or .pdf file
    • Fields lists all of the fields available in the View
    • SQL shows the View query in SQL
    • Reports lists all of the active reports that have been built using the selected View and allows you to navigate directly to these reports
  6. Click to close the View Summary dialog box.
