Spreadsheet Export/Import

Data can be exported out of Diligent Entities via DXM, updated with necessary information and changes, and re-imported back into Diligent Entities as an approved spreadsheet through DXM Data Exchange.

Existing data can be exported from Diligent Entities and be updated. Users can export current Entities information, update necessary changes, and import the approved spreadsheet through Data Exchange.

Important factors to remember when using the Import process:

  • DXM Core and DXM Inbound, Outbound and Process modules must all be installed.
  • Outbound and Inbound must be enabled in Configuration > Settings.
  • The user must be assigned Outbound, Inbound, and Process user role rights (in Security Manager).

Any updates made to fields in the Spreadsheet will update the original matching fields in Diligent Entities. This function accommodates the need for any manual bulk updates that may be required.

For example, if a restructure has taken place and there is a need to bulk update several existing fields, this can be achieved by using the Spreadsheet. The updated spreadsheet can then be brought back into Diligent Entities using the Data Exchange Spreadsheet Import feature.

Initial Configuration

For a user to utilise the Data Exchange Import/Export functionality, the following configuration and settings should be enabled.

  1. Inbound and Outbound features must be enabled.

    To enable them:

    Navigate to: System Tools > Data Exchange Manager > Configuration > Settings

    1. The Data Exchange Manager - Setting screen displays.

      Select Open.

    2. Ensure that the Yes option is selected for both the Inbound and Outbound options in their respective dropdown menus.

    3. Select Save.

      The features are enabled and the settings saved.

  2. Outbound, Inbound, Extracts, and Process user roles must be User Roles and Custom Security.

Excel – Formatting Files

The following formatting points must be observed when extracting a file.

After a file is extracted:

  • Check for any empty rows that may have been added to the bottom of the Spreadsheet.
  • Date Columns should be changed to yyyy-mm-dd format before saving as a .CSV file.
  • Field names should not be changed (field column headings).
  • New fields (new columns) cannot be added.

Data can be extracted from Diligent Entities by utilising the Search options available. Data can also be directly extracted from the Data Exchange Home page.

Excel Extracts

The Excel Extracts section is located on the Data Exchange Home Page. Excel Extracts can be used for various data types.

  • Addresses
  • Address Mapping
  • Appointments
  • Contacts
  • Corporate relationships
  • Data Libraries
  • Entities
  • Entity List
  • List Manager Division/Partner
  • Users

Each of these extracts enables the data within to be changed after export. Once the data is updated, it is easily imported so Diligent Entities is updated with the new information.
