Approve a Pending Event Workflow

Any Pending Event requiring review by an Approver will be displayed both as a Pending Event and as a Reminder.

Approvers also receive email notifications once a day reminding them that a Pending Event is awaiting their review and approval or rejection.

Selecting the Options Menu icon for the listing reveals two approval related options: Approvals and Approve Event.

Approvals

Selecting the Approvals option opens the Pending Event Approvals wizard and displays the Approvals screen.

The Approvals screen tracks the approval status of the selected Pending Event. Beneath a summary description of the event requiring approval is a table listing:

Each Approver

The due date for their approval

Whether and when they approved or rejected the event

Any comments that they may have added

Approve Event

Selecting the Approve Event option opens the Pending Event Approvals wizard and displays the Approve Event screen.

  • Selecting the Approve option will mark the event as approved at this stage, forward it to the next approval stage, and notify required individuals. For this example, the Approve option is selected.
  • Selecting the Reject option will mark the event as Suspended at this stage, requiring comments for the rejection to be added and notifying the required individuals. Administrators will be notified of workflows with a Suspended status, indicating that the specified workflow will need to be cancelled.
  • If required, enter any notes relating to the selection made into the Comments field.
  • Select Finish.

The event is approved and the wizard closes.

The listing on the Pending Events screen is updated to display the next Approver in the workflow and the deadline for their approval or rejection, in the Assigned To and Reminder columns (respectively).

This process continues until the final approval in the workflow has been captured. At this point, the Event Status column updates from Awaiting Approval to Awaiting Action, and the Reminder field is cleared.

The Approvals screen in the Pending Event Approvals wizard will also display all statuses and any comments captured in the workflow.

When an event has an Event Status of Awaiting Action, the Approve Event option is greyed out and the Action Event option becomes available to access in the Options Menu.

The availability of the Action Event option indicates that the event can be actioned by the appropriate individual in the Pending Action wizard, and the change updated in Diligent Entities.
