Using Policy Portal

If you use Policy Manager to publish a document to the System Portal, it is available in Policy Portal. See Publishing a document

Document consumers use Policy Portal to locate, view, email, and download documents. The audience may include employees, vendors, or outside parties. You identify if a document requires a log on to access.

Each document's General Info tab identifies whether the document is:

  • Publicly Accessible to anyone on the internet who accesses Policy Portal. Public access is useful for documents like organization mission statements or organization values. The user must log into Policy Portal but does not need to be part of the target audience assigned to the document.

  • Target Audience which safeguards the document. The users must log into Policy Portal, and they can only view documents allowed for their target audience. See Managing target audiences.

Important

Consider the confidentiality of the document when using these settings. Publicly Accessible only requires the user to log into Policy Portal. Target Audience requires the user to both log into Policy Portal and be part of the Target Audience.

Find a document

You can enter any information in the search text box then select Search to view documents that match the search criteria provided you are in the target audience or the document is available to the public. You must use the exact word.

On the right of Policy Portal, you can make these selections:

  • Select the Most Popular tab to view the most read documents, download them, or email them.

  • Select the Language.

  • Select the Recent Activity tab to see the documents most recently viewed.

On the left of Policy Portal, you can select the following tabs.

  • Select the Index tab to find a document by selecting on the type of document, such as Policies, Plans, Procedures, and so on. Select a document to open it or right click on the name then select Copy link address to paste the URL link to an email or other target. If the recipient of the link is not logged in, they will be required to log in before viewing the document.

  • Select the Basic tab to search for a document based on one or more tags assigned. Enter the text, optionally select Search in document contents, then select .

  • Select the Advanced tab to perform a more granular search by Type, Category, Tag Groups, and other field values. Enter values then select search.

Once you find the document on the Basic or Advanced tab, you can perform any of the following:

  • View the summary of the document
  • Download the document, or
  • Email the document
  • If the policy has no target audience, you can right click on the document name then select Copy link address to paste the URL link. If the recipient of the link is not logged in, they will be required to log into Policy Portal before viewing the document.
  • Select a document tag to view all other documents with the same tag, such as Requirements, Security, and Standards as shown in the following example.
  • Select the See also: link to view the documents added to the Cross Reference tab, Related Documents. See Managing cross references.

Manage an open document

Once you have selected the document and can view it, you can perform these actions:

Page view: Select to display or hide the individual page view.

Page: Displays the page you are viewing and the total pages in the document.

Size: Select the - minus button or + plus button to decrease or increase the page size for better viewing.

Fit to page: Select to make the page fit the window size.

Rotate: Rotate the document counter-clockwise.

Print: Complete the entries and select Print.

Select the three dots to display additional options:

  • Two page view: View two pages at once.
  • Annotations: View the annotations to the document.
  • Present: View the document in presentation mode.
  • Document properties: View the file size, length of document, and other details.
