Managing requests

Manage requests from a single project or across multiple projects.

How it works

You can manage requests from two areas in the Projects app:

Page Description
Request List Tracking displays all requests from a single project
Task Tracker displays all requests across multiple projects

Multiple request notifications

From the Request List Tracking page, you can send multiple requests. Multiple request notifications are aggregated into a single email per person. If a new comment or attachment is added to the request by another person, an email notification is sent to the request owner and to the requester.

Unread items

Unread attachments and comments associated with requests are displayed with a red dot . Once you view the attachment or comment, the red dot disappears.

Permissions

Professional Managers and Professional Users can update all fields within a request.

Oversight Executives, Contributor Managers, Contributor Testers, and Contributor Users can update the request owner, the email and CC fields, and add comments or attachments.

Manage a request's details

Anyone who can access a request can update its details and choose to send out email notifications accordingly.

  1. Do one of the following:
    • Open the Projects app, open a project, and click the Requests project management tab.
    • Open the Task Tracker app and select the Requests tab.
  2. Navigate to the request you want to update.
  3. Under Details, click Update.
  4. In the Edit request window, make your required changes.
  5. Optional. If you want to send an email notification to all other users (the requester, the owner, and all CC'ed people, except for yourself), choose an option under Notification. Otherwise, Diligent One defaults to the below email notifications.
  6. Click Save. Diligent One updates your request with your changes.

Email notifications

When a person updates a request's details, they can also choose to send an email notification to notify others. The table below illustrates who receives an email notification by default, which depends on the person who updates or comments on the request.

When someone other than the requester updates a request, the requester is automatically notified via email. If the person decides to send a notification while making the update, then everyone except themselves gets an email notification.

Manage multiple requests in a single project

  1. Open the Projects app.

    The Projects homepage opens.

  2. Open a project.

    The project dashboard opens.

  3. Click the Requests project management tab.

    The Request List Tracking page displays a list of requests.

  4. Locate a request by doing any of the following:
    • Search or apply filters to restrict the list of requests.
    • Sort requests by clicking on the column title.
  5. Manage requests by doing any of the following:
    • Create a new request click + New Request.
    • Update or delete a request click the description link under the Description column.
    • Update multiple requests select the request(s) and click Update.
      Note

      You can only update requests that have not yet had their status set to Received. When you update multiple requests at once, Diligent One doesn't send out any email notifications.

    • Send an email notification select the request(s) and click Send Notification.
    • View or download files associated with a request click the number under the Attachments column, and click the attachment name.
    • View discussions associated with a request click the comment icon .
    • View when the request was created and when the last reminder was sent hover your mouse over the timestamp under the Due Date column.

      If the request is overdue, the due date displays in red and a red vertical line displays on the left side of the request.

    • Go to the page where the request was created click the link under the Source column.

      No link under the Source column indicates that the request was created on the Request List Tracking page.

Manage requests across multiple projects

  1. Open the Task Tracker app.
  2. Select the Requests subtab.

    The page displays with a list of open requests, requested by you, and sorted by the most recent due date.

    The yellow clock represents overdue items. The red dot represents unread items. The lock indicates that the section containing the request has been checked out by another user using Offline Projects or Diligent One for iPad, and the request is read-only.

  3. Locate a request by doing any of the following:
    • Search or apply filters to restrict the list of requests.
    • Sort requests by clicking next to the column title.
  4. Adjust the status of a request, view information in the table, or click the request description to update the request.
    Tip

    You can navigate to the project where the request was created or the source page where the request was created by clicking the link under the Project or Source column, respectively.

    Result Request information is updated.
