Share a folder

Use Share folder to securely collaborate with someone outside your Secure File Sharing Organization. They use the link in the invitation email to set up a free account. Only the item that has been shared can be accessed, and the role you assign them will determine what permission levels they have in the folder.

  1. In your data room go to the folder you want to share and select the more options icon .

  2. Select Share folder from the menu.

  3. Select the level of security you want to assign.

  4. Enter the recipient's email address and select Add Recipient or select from the suggested list of email addresses that appear when you start to type.

    Tip

    Multiple emails can be copied from outlook and pasted into the email field.

  5. Assign a role from the menu. The selection defaults to Editor. For more information, go to Role Description.

  6. Add a personal message. This is optional.

  7. Select Next.

  8. The Additional settings are optional.

    • Access expiration - Select a date if you want to folder to be available for a limited time.

    • Language - Select a preferred language for the email.

  9. Select Share folder. An email is sent to the recipient notifying them of the share.

Leave a folder share

If a folder has been shared with you and you are no longer involved in the project or it was shared with you by mistake you can leave the folder share. You won't receive further notifications on activities undertaken in the folder.

  1. In your data room go to the side navigation panel and select Shared with me.

  2. Select the folder's more options icon and select More actions from the menu.

  3. A Leave folder share options opens. Select it.

  4. A pop up appears, select Leave to proceed.

You will now be removed from the share.

Role Description

Role Permissions and rights
Editor

The recipient can download and open the folder’s content and create new folders; to move, copy and delete items; to create new versions, and upload new items, all within the shared folder.

Reader

The recipient has read and download access, allowing folder content to be opened and read.

Co-Owner

The recipient has the same permissions as an Editor, together with additional permission to share folders and send links to items.

Note

Co-Owners must be members of the same organization as the sender. If they are not this may be why the option is not available when selecting the recipient’s role.
