Flow manager tasks

The Flow manager is a Diligent Data Room member who has the permission to configure a particular Flow installation. The initial Flow managers of a Flow installation are defined by the organization administrator and they must be Data room managers in the team room assigned to the Flow installation during configuration.

After an organization administrator has completed their installation steps, the Flow manager must complete the final steps to ensure an Installation is successful and the Flow is available for use by the members.

The Flow manager completes these tasks in the Team Data room in their own Diligent Data Room account. They can also be appointed as Administrators.

Step Task Responsibility Description
1 Adding new data room members Flow manager All other Flow managers and Administrators are added and the appropriate permissions assigned to them.
2 Configure a Flow Flow manager During this process the Flow is configured to the Team Data room and Boards site, and other permissions are assigned.
3 Activate a Flow Flow manager The Flow must be activated to be available for use by the specified members.

The Flow is now ready to be used.

How Flows are shared

The task of organizing a meeting is usually shared between several Meeting Workflow members.

Meeting Flows are automatically shared with those configured in the Flow installation as Users who can co-manage the meetings.

The sharing function has the following features:

  • A Flow can be shared with up to 15 members.

  • Only one person can open and edit a Flow at a time. As soon as a Flow is opened it's locked to prevent access by other members.

  • After a Flow has been started it can't be shared with a new member .
