Add a Step task

After the workflow definitionClosed The template used to build a workflow which is the outline of tasks that must be completed. is created, add a Step taskClosed Part of a workflow that itemizes certain work to be completed. named Initial High Risk Compliance Review. The description under the task name gives instructions to the users.

The StatusClosed Third-party Status used for searching, for example, Active or Inactive. Approval Status is a subset of the Status. See Approval Status. Case Status used for searching, for example, Only Open Cases or Only Closed Cases. is set to Active. The Route To is set to the Compliance Review (K) user queue. The users in that queue will receive notifications about the task and are able to take ownership of the task.

Included Fields are selected from the Available Fields. The first fieldClosed A field is a way to input information, often a question. identifies a review action that is Required. The second field asks the user to upload supporting documents and is not Required.

Next, in the Task Settings, the task is Required to be completed by the user. An email notification for Task Activated is sent to the user queue to let them know the task is ready to be completed.

The remaining Notifications to Send selected are sent as follows based on the days set in the Task Settings dialog box. These are suggested settings for the example.

  • A user in the queue must Take Ownership Within one day of task activation. If no one has taken ownership, each person in the user queue will receive a Task Unassigned email per the set number of days. See Managing workflow definitions.
  • The task is set to be Due Within one day. If a user takes ownership of the task but does not complete it within 24 hours after task activation, all users in the queue will start receiving Late Task email notifications.
  • If ToDos are set on the task, ToDo reminder emails can be sent to the person who set up the ToDo.
