Managing AI content for a book

AI content for a book consists of a Smart Summary, Smart Prep, and Smart Risk Scanner to help directors prepare for their meetings.

Smart Summary is a condensed version of the book. Smart Prep provides tailored information, related rationale, discussion topics, and suggested questions around the book content. Smart Risk Scanner identifies important risks, legal threats, compliance issues, vulnerabilities, and strategic market concerns.

AI content can be manually generated in the GovernAI tab of the Book editor after a book is built. It is also automatically generated under certain circumstances. If there’s a change to book access permissions, new AI content is automatically generated to ensure that information is always confidential and specific to each user.

1. To access the AI features for a book, select the GovernAI tab in the Book editor.

2. To manually generate AI content for a book that has not had any AI content generated previously, select Generate AI content.

3. To manually generate AI content for a book that already has AI content generated, select Regenerate AI content. A completely new summary is generated, regardless of whether the content had been previously edited.

4. Regeneration of AI content is also automatically triggered after document deletion, document reordering, tab reordering, and tab renaming. It is not triggered when a document is added or replaced.

   • If the summary has been edited no new content is generated but any structural changes are included.

   • If a document is deleted its corresponding summary is removed.

   • If the order of documents or tabs changes the structural change is reflected in the summary. However, the actual content remains unchanged.

5. When generation is complete, the AI content is available in the GovernAI tab. For information on potential errors when generating content, refer to AI content generation errors FAQ.

6. Hover over the Visibility icon on the respective AI content button to display the director visibility setting.

7. To open the AI content, select an option from the list. The content is displayed in a separate window.

   1. To change the visibility of the AI content for directors, use the Show to directors toggle switch in the open AI window. A message then confirms the selected setting for directors. Directors will only see the content of the book that corresponds to their access permissions.

   2. To copy the content to your clipboard, select the Copy icon .

   3. To enter full-screen mode, select the Full-screen mode icon .

   4. To add, update, or delete text in the Smart Summary, select Edit and update as required.

      • Images cannot be edited or added to the summary.

      • Citations cannot be edited or added to the summary, but they can be deleted.
