Device authorization management

Device authorization requires any device with a Boards application, like Boards iOS, to be authorized the first time it is used. To authorize a device, you'll need to find the user's request, approve their device, and then provide the authorization PIN. This topic describes how you can manage which devices a user can use to access a site.

  1. Select Site Management on the main Navigation panel.

  2. Select Site.

  3. Select the Manage devices tab.

  4. To assist with searching a long list of users, you can sort the list by status or user.

    Users with pending device authorization requests will show Requested as their status.

    Note

    A user will only show as Requested if they signed in from their device, received a device authorization alert, and selected Authorize. For more information, see Device Authorization and two-factor authentication: the end-user experience.

  5. To manage the user's request, select Approve.

  6. In the Authorize device window, review the request details, including the user's name, their Diligent device ID, and device description.

  7. To approve the device, select Approve. The user will need to enter a PIN on their device to complete their request.

  8. To view the Authorization PIN that the user needs to enter on their device, select the Expand icon. You will need to let the user know what their PIN is; send them their PIN via a secure channel like Diligent Messenger, or share their PIN via email.

    Note

    There's a 10-minute time limit after the PIN is generated for the user to enter it on their device. Otherwise, a new PIN will need to be generated.

  9. To generate a new PIN, select Regenerate PIN.

  10. After the user enters and submits the PIN successfully on their device, their status will be Authorized, and they can use that device to access any site.

  11. To suspend an authorized device, select Suspend. Suspending a device ensures that the user can no longer use that device to access any site, whether or not those sites have device authorization enabled.

    Note

    While suspending a device will prevent the user from accessing any site, only devices that have been authorized in the past can be suspended.

  12. In the Suspend authorized device window, select the Reason field to add the reason you're suspending the device, and then select Suspend.

  13. To reauthorize a suspended device, select Reinstate.

  14. Select Reinstate to finish reinstating the authorized device. The device will immediately function as normal for the user.

  15. To delete an authorized device, select Delete. Deleting a device prevents the user from using it to access any site.

  16. In the Delete device window, select the Reason field to add the reason you're deleting the device.

  17. Select Delete. The user's entry will no longer be visible on the list of users.

    Note

    When you delete a device, the user will need to submit a new device authorization request to access their sites with device authorization enabled.
