Configuring record statuses

Statuses identify the state of records as they progress through remediation. You can configure the names and orders of statuses to suit your remediation process, and the statuses are used in all Collections.

Note

Only System Admins with a Professional subscription and Results Admins can manage statuses.

Default statuses

You start with a set of default statuses that can be re-ordered or renamed. Statuses are grouped as either Open or Closed to help group records by state:

Note

Status names are case-sensitive.

Status Suggested usage Group
New Records that have been imported to Results are automatically assigned this initial status. Open
Open Records assigned to this status require additional follow up or investigation.
Under Review Records assigned to this status have been assigned to the appropriate owner and are awaiting response.
Closed Records assigned to this status have been assigned, followed up, and concluded upon.

Closed

By default, records that have a status grouped as Closed are not displayed in tables. you can change the filter on the table from All Open Records to All Records.

False Positive Records assigned to this status were previously flagged based on test results and have been ruled out for further inquiry.

Add a status

  1. Open the Results app.
  2. From the navigation side panel on the homepage, click Settings.
  3. Click Statuses and in either the Open or Closed section, click New.
  4. Enter a new status name and then click Save.

    The new status is added in the group you chose and displays at the bottom of the list.

Reorder a status

  1. Open the Results app.
  2. From the navigation side panel on the homepage, click Settings.
  3. Click Statuses and in either the Open or Closed section, click the status you want to reorder and drag it to the position you want.

Rename a status

  1. Open the Results app.
  2. From the navigation side panel on the homepage, click Settings.
  3. Click Statuses and in either the Open or Closed section, double-click the status you want to rename.
  4. Enter a new status name and then click Save.

    Any existing records assigned the status are renamed, however entries in the Audit Trail are not updated. The updated date for the column in the table does not change when a status is renamed.

Delete a status

  1. Open the Results app.
  2. From the navigation side panel on the homepage, click Settings.
  3. Click Statuses and in either the Open or Closed section, click the Delete icon for the status you want to delete.

    Note

    If a trigger is associated with a status you want to delete, you must remove the status from the trigger first before you can delete the status.

  4. In the confirmation dialog, click Delete.

    Any existing records assigned the status are assigned the first status in the list from the same group.
