Managing relationships in Asset Manager

In Asset Manager, you can create custom, ad-hoc relationships by linking assets and asset records with other objects such as risks, controls, projects, other assets and asset records. This way, you can add context to your assets and asset records, and perform your risk management more holistically.

The Asset Manager app requires a subscription to IT Risk Management or Third Party Risk Management.

Configuring custom relationships

Contact your Diligent representative to configure the custom relationships your organization needs. These relationships specify which asset types and asset record types can be linked to other objects. Then, you can go into individual assets and asset records and define specific relationships between them.

Where can I see the relationships?

To view the relationships, perform the following steps:

Asset Relationships

  1. Open the Asset Manager app.
  2. Click the asset type that contains the asset you want to work with.
  3. Click the asset you want to work with.
  4. Go to the Relationships tab.

Result You should see the objects available to link. If you do not see any objects, contact your Diligent representative to configure the relationships.

Asset Record Relationships

  1. Open the Asset Manager app.
  2. You can navigate to the asset record by one of the following methods:
    1. Method I:
      1. Click the asset type that contains the asset you want to work with.
      2. Click the asset you want to work with.
      3. Click the record type of your choice, and click the record you want to view.
    2. Method II:
      1. Click the left panel toggle to open the side panel.
      2. Under Records, click the record type of your choice.
      3. Click the record you want to view.
  3. Go to the Relationships tab.

Result You should see the objects available to link. If you do not see any objects, contact your Diligent representative to configure the relationships.

Which objects can I link to?

After your Diligent representative has helped you configure your organization's custom relationships, you can start linking your assets and asset records to different objects as follows:

  • Risk and Controls  You can link you asset / asset records to risks and controls. The risks and controls are integrated from the Risk Manager app.
  • Assets  You can link your asset / asset records to other assets. These assets are from the Asset Manager app itself.
  • Records  You can link your asset / asset records to other records. These records are from the Asset Manager app itself.
  • Projects  This is applicable only to assets. In the Relationships tab, you can view the projects that are linked to the asset (an asset is linked to a project when an asset is scoped). You can navigate to the project by clicking the project name.

    Note

    You cannot link the projects from Asset Manager.

Linking assets / asset records to other objects

An asset and an asset record is related to different objects across your organization, such as other assets, asset records, risks, and controls. It is important to capture this relationship and link the asset and asset record with these objects, so that you can accurately calculate the impact of a risk on the asset.

To link an asset and an asset record to different objects, perform the following steps:

  1. Navigate to the Relationships tab.
  2.  To link to other assets, click Link Assets.

    The Link Object dialog box opens

    1. Select the type of asset and the asset.
    2.  Click Link.

      Result The asset is linked.

  3.  To link to other asset records, click Link Asset Records.

    The Link Object dialog box opens

    1. Select the record type and the asset record.
    2.  Click Link.

      Result The asset record is linked.

  4.  To link a risk, click Link Risk.

    The Link Object dialog box opens

    1. Select the risk.
    2.  Click Link.

      Result The risk is linked.

  5.  To link a control, click Link Control.

    The Link Object dialog box opens

    1. Select the control.
    2.  Click Link.

      Result The control is linked.

Note

If you do not see any Link buttons, contact your Diligent representative to configure the relationships.

Unlinking assets / asset records from other objects

You can remove the relationships of an asset / asset records with different objects.

To unlink, perform the following steps:

  1. Navigate to the Relationships tab.
  2. Click the unlink iconon the object that you want to remove.

    The Unlink relationship dialog box opens.

  3. Click Unlink Object.

    Result The link is removed from the asset.

Note

You cannot unlink projects from Asset Manager.
