Email Templates

You can create email templates to save time and ensure your messages in BoardEffect are consistent. Use a template for various types of communication, such as notifying users when a Meeting Book is available for review, sending an RSVP request, and asking for a survey response.

  1. On the BoardEffect home page, on the left-side Navigation Bar, select Site Settings .

  2. Select Email Templates from the list of settings options.

  3. To edit email templates to notify users when, for example, a Meeting Book or resource file is updated, select Books and Resources.

  4. To edit email templates for messages, notifications or reminders related to surveys, polls, discussions, tasks, and scheduler, select Collaborate .

  5. To edit email templates for authorization and password requests, select Authorization and Passwords.

  6. To edit an email template for RSVP requests for an event, select RSVPs.

  7. To edit email templates to send messages, notifications or reminders to users during each phase of the Meeting Book Workflow, select Workflows.

  8. To update a template, select the relevant template name. The Application Emails dialog opens with the email template details.

  9. Enter a subject for the email template in the Subject field.

  10. Enter a custom message or copy and paste content in the Email Body field.

    Note

    Do not delete placeholders like %{book_title}. Should you delete placeholders, issues might occur with the dynamic content in the Email Body field when you send the email. To refresh, select Restore to default. To learn more about email template placeholders in BoardEffect, refer to Settings: Email Template Placeholders .

  11. To save your changes, select Save.

  12. To delete your changes, select Cancel.

  13. To send a test email to review your formatting and language, select Send Test Email.

    Note

    Test emails are generated using noreply@notifications.diligent.com, and the user's first and last name who sends the email is also populated.
