Pending events

The Pending events feature is available in both the classic and modernized versions of Entities. This section helps you navigate and work with the interface in either version.

The classic version offers a broader set of actions, including editing, validating, assigning signatories, generating documents, or managing events in batches. The modernized version provides a simplified view with essential filters and table customization options to help you quickly locate and review pending events.

Pending events in classic Entities

Pending events enable users of the Entities app to complete wizards without updating records in the system immediately.

A pending event is an event wizard that a user has completed such as an appointment or a share allotment. Instead of updating the system with the change immediately, the user opts to save the event as pending, because there is a need to wait for actioning or authorisation, or additional details might need to be added later.

Pending events and filing forms

The pending process is designed to assist users in managing events and is recommended when filing forms to the relevant corporate agencies. Users can prepare and file documents through the Entities app in certain jurisdictions. When the documents are accepted, they are able to update the Entities app to ensure that the information stored in the system is as up to date and as accurate as possible.

If a user chooses to update the Entities app immediately and the documents are rejected by their corporate agencies, they must undo the specified event and complete it once more in order for the application to recreate the relevant forms so that they can be filed again. Corporate agencies such as Companies House do not accept a form that has already been filed with them, and so the form must be deleted, regenerated and e-filed. This process is made simpler by using the pending process and the related Edit event, Validate event, and Documents options.

Locate pending events

To access all pending events for all entities within the Entities app, select the Pending Events option in the Global Banner.

To view the pending events for a specific entity, open the entity's record and go to Compliance > Pending Events.

Pending event options

The following table provides an overview about the options that are available for pending events. Select Options Options to access them.

Option Description
Documents The Documents option opens the Pending Documents Wizard and enables users to recreate any or all documents related to the event. Documents that are produced from the pending events page reflect any amendments to the event or to the entities involved, for example, a changed individual's address.

There is no limit to the amount of amendments that can be made or the amount of times a document can be previewed. However, if a document is produced multiple times, there will be duplicate copies in Working Documents. For best practice, it is advisable that only the final copy of the document is kept.

Note

Users should be aware that documentation can only be produced for an event if the company is in live mode and was in live mode when the event was created. Also keep in mind that not all wizards produce documentation.

Tracking The Tracking option opens the Pending Tracking Wizard and enables users to assign the event to a specific user for authorisation or to complete the event.

A reminder for the pending event, along with any tracking information including notes recording the process of the event, then appear in the assigned user's Reminder List and My Portal page.

Signatory The Signatory option opens the Pending Signatory Wizard and enables users to record details of the individual responsible for signing the documents produced by the event.
View Event The View Event option opens the related wizard to enable navigation through the selected event.
Edit Event The Edit Event option enables users to edit a pending event by opening the related wizard. The user can navigate through each stage and make any amendments required.
Validate Event The Validate Event option opens the Pending Validate Wizard. This wizard ensures that all required information has been entered into the event or records involved in the event. Any issues raised during the process need to be rectified before the event can be actioned.
Action Event An event should only be actioned once all required documentation has been produced, as it is not possible to regenerate documents once an event has been actioned. In the Pending Action Wizard, users must select the pending record(s) selected for actioning checkbox to be able to action the event.
Delete Event Users can delete pending events that are no longer needed. After selecting the Delete Event option, select OK on the confirmation dialogue that displays to complete the deletion.

The following other options are also available for pending events:

  • Batch Action

    It is possible to select multiple pending events from the list using the checkbox that comes before the item and action them at the same time by selecting Wizards > Batch Action. Use the search filters to ease the selection of pending events.

  • Batch Delete

    It is possible to select multiple pending events from the list using the checkbox that comes before the item and action them at the same time by selecting Wizards > Batch Delete. Use the search filters to ease the selection of pending events.

  • Add to Batch

    It is possible to add pending events to a batch to group them together.

  • Export

    It is possible to export the list of pending events into various formats. Select the option that fits your needs best. Use the search to list specific pending events and have only the search results in the export.

  • Report

    It is possible to create a report that lists pending events.

Pending events in modernized Entities

The Pending events tab presents a streamlined table view of events saved in a pending state for an entity record. To view the pending events for a specific entity in the modernized version, go to Compliance > Pending Events.

It shares the same interface and functionality as the Reminders tab, including filters for urgency, date range, and user, as well as options to customize the table layout.

Filter or Option Description
Search Search the items by name or description.
Urgency category Filter by urgency levels such as Overdue, Upcoming, or Future. Use Reset to clear your selections.
Reminder date Select a date range and view items within that period.
For user Choose users whose items you want to view.
Clear all Clear all the applied filters to reset the list.
Columns
  • Show or hide columns such as Event, Description, Event Status, and User.

  • By default, Urgency category, Reminder date, and Name filters are selected.

  • Use the search field to find columns.

  • Select Columns again to close the filter.

Rows Choose to display 10, 25, or 50 rows. Use pagination controls to navigate between pages.

Each column in the table includes options to autosize the current column, autosize all columns, or reset column widths to default.

Accessing pending event details

In the modernized Entities version, you can view detailed information for items listed under Compliance > Pending events. After accessing the section, follow these steps to explore the related details:

  1. From the table that appears, select a name whose details you want to view.

  2. On the Individual's details tab, review the following information for that name:

    • Details View main details, primary addresses, accounting dates, and more.
    • Addresses View information about primary addresses.

  3. To view appointment details, open the Appointments tab. Use the search and Columns options to filter and customize the view.

    Note

    If you select a name from the Appointments tab, you’ll be redirected to the individual’s details page.

On the details page of an entity, you can switch from the modernized Entities view to the classic version. To do this:

  1. Select Manage in classic Entities.

  2. (Optional) To skip the confirmation message and go directly to classic Entities the next time you switch, select Don’t show this message again.

  3. In the Go to classic Entities dialog box, select Go.

You’ll be redirected to the login page of classic Entities, where you can view the entity’s details in the classic interface.
