Share Certificates
Following share allotments, share transfers, share conversions, and bonus issues for companies from certain jurisdictions, the system generates share certificates.
Share certificates are stored in Working Documents for viewing, printing, emailing, and editing. You can also find the share certificates in the company record under Ownership > Certificates.
By default, only current certificates are displayed on the Share Certificates page. To see cancelled certificates, set the For field to either Cancelled Certificates or All Certificates and select Search
.
On this page, you can do the following:
- Create certificates
- Edit certificates
- Reprint certificates
- Consolidate certificates
- Freeze certificates
Create Certificates
This option is useful if a certificate is not automatically generated by the system, for example, following an opening balance.
Edit Certificates
This option enables you to amend or add any notes, the certificate date or the numbering. This is particularly useful if you notice that the certificate numbers are out of sync, which can occur if you have undone share events. Select Options
against the share certificate to edit it.
Reprint Certificates
This option is useful if you have accidentally deleted the share certificate from the system and want to issue a duplicate certificate. To reprint a share certificate, select Wizards > Reprint Certificate. In the wizard, you can select the share class, the shareholder, provide the reprint date, the certificate to reprint and also select whether you want for the certificate to be marked as a duplicate or not.
Consolidate Certificates
This option is useful when a shareholder has multiple share certificates for different amounts of shares under the same share class. A consolidation of certificates would create one overall balance certificate of the total number of shares. To consolidate share certificates, select Wizards > Consolidate Certificates.
When consolidating certificates, the system asks you which certificates you want consolidated and whether you would like to produce a single certificate to show the total balance for the selected shareholder.
Freezing Certificate
If a certificate is frozen, no share transaction can take place on the shares the certificate relates to until the certificate is unfrozen. To freeze or unfreeze a certificate, select Wizards > Freeze Certificates.
