Checking sections out and in

Offline Projects is a component in ACL for Windows  that allows you to continue to work with the Projects app while disconnected from Diligent One and access entire sections from projects offline.

You can use Offline Projects to check out one or more sections from a project to work with offline and check in the section when you return online.

How it works

Once you have completed your work offline, you can check in one or more sections from a project to sync data back to the Projects app. In order to check a section from a project out or in, you must have access to the Internet. Once a section from a project is checked out, it is locked from being checked out on any other device by any user.

Permissions  

This task can only be completed by Professional Managers or Professional Users.

Steps

Notes

  • Interface terms are customizable, and fields and tabs are configurable. In your instance of Diligent One, some terms, fields, and tabs may be different.
  • If a required field is left blank, you will see a warning message: This field is required. Some custom fields may have default values.
  1. From your computer, open ACL for Windows, and click Diligent One Project.

  2. On the Offline Projects homepage, click Open Project.

    The Find a project for offline use window opens displaying a list of projects sorted alphabetically by name and each project's deadline. 

  3. Enter a keyword or phrase in the search box to find the project you would like to work with.

    All project titles that match the content of the keyword are searched and filtered. Metadata, such as project deadlines, are not searched.

  4. Select the project you need to access offline from the list.

    If you need to select another project, click select again.

    Note

    If the project has been deleted in the Projects app, or your role assignment has changed on a project, you will encounter an error in Offline Projects stating that you no longer have access to the project. If the project exists in the Projects app, a Professional Manager can reinstate your access to the project.

  5. Enter a keyword or phrase in the search box to find the section you would like to work with.
  6. Click Check Out beside the appropriate section(s).

    The section locks into read-only mode in the Projects app, preventing other users from making changes. All checked out sections are listed under Checked Out on the homepage, with the most recently checked out section at the top of the list.

    Note

    You can discard a section in Offline Projects by clicking the trash bin  beside the appropriate section. When you discard a section, the section is deleted locally in Offline Projects and the section unlocks in the Projects app. Once you discard a section, you cannot restore your changes.

  7. Click the section name link to open the section.

    The Control List page opens.

  8. Update information in the section.

  9. Click HOME.
  10. Click Check In next to the appropriate section(s).

    Note

    If you previously checked out a section from a project, and subsequently archive or delete the project, you will not be able to check in the section again until you unarchive or restore the project.

    Caution

    If you check out a section in Offline Projects, and an Professional Manager overrides the check out in the Projects app (by checking in the project), you will not be able to check in the section. To avoid losing data, you can manually copy and paste the data from Offline Projects to the Projects app.

    Result The section is synced back to the Projects app to share with other team members. The last five recently checked in sections are listed under Recently Checked In on the homepage, with the most recently checked in section at the top of the list.
