Create snippets for a Conditional Snippet task

The next taskClosed Part of a workflow that itemizes certain work to be completed. to add to the workflow definitionClosed The template used to build a workflow which is the outline of tasks that must be completed. is an Approved or Rejected Conditional SnippetClosed A predefined task or group of tasks that can be inserted into a workflow or workflow definition. Snippets are created and managed similiar to how workflow definitions are created and managed. task. This task allows branching based on whether the third-party was approved or rejected. We perform these high level steps:

  1. Create two snippets from the WorkflowClosed A series of tasks generated based on an event or form submission. Snippet left menu functions. One snippet is the Third-Party Approved snippet and the other is the Third-Party Rejected snippet. This step is described below.
  2. Once both snippets are created, we return to the Workflow Definitions left menu function. The snippets are inserted as a Conditional Snippet in the High Risk Review workflow definition. The workflow definition will branch based on whether the third-party was Approved or Rejected. This step is described in Add a Conditional Snippet task to the workflow.

Setting up the Third-Party Approved snippet

The examples that follow show how to set up the Third-Party Approved snippet. The Third-Party Rejected snippet is created using the same steps. Each snippet automatically:

Notification task

In the Notification taskClosed A notificaiton task automatically triggers the system to send an email notification to specified recipients. for Third-Party Approved snippet, select the Send to users of this queue dropdown list as NONE so all users in the Compliance Review (K) queue do not automatically receive a notification. The Send to email from third-party fieldClosed A field is a way to input information, often a question. dropdown list is set to Third Party Internal Owner. That owner will receive the notification shown. Note that the Task Settings access from the upper right gear icon has all the notifications deselected. The content of the notification is customized to include placeholderClosed Placeholders are variables populated when the output is generated. For example, the [[Company Name]] placeholder may be used in an email notification or questionnaire. variables, shown in brackets in the email body. Action task

Create an Action task to automatically update the status of the third-party to Approved. Select the gear icon to deselect all notifications, including Task Activated.

Close task

Create a Close task. For example, you can set up the Close task to be automatically completed by the system versus manually closed. Once the Close task is automatically executed, no more actions can be taken on the workflow by the end users.

Create a Third-Party Rejected snippet using essentially the same steps. With both in place, a conditional snippet is added to the workflow to identify the condition (approve or reject) and take the prescribed task actions.
