Training

You can sign up for the service to implement and distribute third-party training directly with integrated third-party training modules. Multiple course topics relevant to Compliance include bribery/corruption, money laundering, conflict minerals, human trafficking, and more. You can use custom training or pre-defined training templates.

Questionnaires can include SCORM questions. See Using Form Builder for questionnaires and Question Types.

You can add training programs then manage training for individuals associated with a third-party.

Add a training program

  1. Select a third-party then the Record Detail tab.
  2. Select the Training tab.
  3. Select the Add Record button. Select which method you want to use to create the training record:

The methods include Training Types, Training Template, and Training Attachment Types. The available selections for each fieldClosed A field is a way to input information, often a question. are created by Administrators in your organization. See Setting fields and lists, section Fields to customize.

Method 1: Custom training

  1. Select Method 1: Create custom training record then select Continue.
  2. Complete the Add New Training Record fields.
  3. Select Save. You will receive a message that the training record is created. The course is available on the Training tab for you to assign to students.
  4. To add an attachment to the training, see Add attachments or update training.

Method 2: Predefined training template

  1. Select Method 2: Use a predefined training template.
  2. Select the type of training and template.
  3. Select Continue.
  4. Enter the Date Provided and Location.
  5. Select Save. You will receive a message that the training record is created. The course is available on the Training tab for you to assign to students.
  6. To add an attachment to the training, see Add attachments or update training.

Add attachments or update training

  1. Select a third-party then the Record Detail tab.
  2. Select the Training tab.
  3. Select the training record.
  4. To update the record, you can change the Date Provided or Location of the training, as needed.
  5. To add an attachment like a course description, select Files. Complete the fields and choose the file to attach.
  6. Select Upload. The attachment displays, as shown below. Note that you can select delete to remove the attachment if it was added in error.
  7. Select Upload to add another document or select Close if there are no more attachments to add. The file is attached whether you select Update or Cancel on the final window.

Invite or re-invite individuals to training

You can invite and re-invite students to training programs you have created for the third-party.

Ensure student emails are in the third-party record

To invite an individual to training, the individual's email address must be completed on the third-party's Record Detail, Connections tab. Note this is a different field than the Company email on the right.
Instead of adding a student from the Connections tab as described above, you can add a student from the Training tab. Select the Invite/Re-invite button then select the Add New Association button. If you enter a name that is already in the system, you will be able to select an existing username and third-party association or continue to create a new record. When you add the new record, it is added as a Connection for the third-party.

Send the invitation

  1. Select a third-party then the Record Detail tab.
  2. Select the Training tab. The training programs that are added display. If the training program is not available, see Add a training program.
  3. Select the Invite/Re-invite button.
  4. Select the checkbox for the individual(s), the Recommended Training, and the Language.
    If an individual is grayed out, the Email address must be added. Select the edit button and complete the Email field.
  5. Select the Send Training Invitation button. The invite takes a moment to send. The recipient receives an invitation email. You receive an email notification when training is completed.

Delete a training record (cancel training)

You can delete a training record, for example if the training notification was sent in error or if the training is canceled.

Important

Contact Diligent Support if you want to prohibit uses from canceling training.

  1. Select a third-party then the Record Detail tab.
  2. Select the Training tab.
  3. Select the delete button for the record you want to delete. Respond Yes to the confirmation message. The training record is removed. Assigned students, if any, receive an email that the training is canceled. The deletion is recorded in the audit record.

Search for, print, and view audit log

Trainings have a Record # (CaseClosed Assigned to a third party profile related to a questionnaire sent for response, due diligence investigation, or other action. Number) containing TR, such as ZCTR-1418.

  1. Locate the training Record # (Case Number) on the third-party Record Detail, Training tab.
  2. In the Quick Search in the upper left, search by Case Folders, Case Number, enter the Record # (Case Number), then select Go.
  3. Select the training.
  4. Proceed with the action:
    • Select Print.
    • Select the Audit Log tab.
