eSignatures FAQs
Entities eSignatures provides a signature workflow which enables documents to be tracked and securely stored in Diligent Entities.
Are there any prerequisites to enable eSignatures?
To use eSignatures, you must be on a platform hosted by Diligent, using a Diligent Entities package (Standard, Professional, or Enterprise) and have access to the Dashboard. You must also have a DocuSign account.
To confirm whether you are eligible to access the eSignatures feature, contact your Entities Customer Success representative.
How do I activate eSignatures?
To have eSignatures activated for you, contact your Entities Customer Success representative. Once the feature is active, you need to configure users for sending signature requests. For more information, refer to eSignatures: Enable eSignatures in Diligent Entities.
Can I use my own DocuSign account?
Yes, you can use your own DocuSign account to send signature requests.
I do not have a DocuSign account. Can you provide me with one?
If you do not already have a DocuSign account and are interested in using Diligent Entities eSignatures, contact your Entities Customer Success representative.
Can the eSignatures feature be enabled for individual users in Diligent Entities?
eSignatures can only be enabled per user role and not for individual users. For more information, refer to eSignatures: Enable eSignatures in Diligent Entities.
Are eSignatures legal in my country?
DocuSign have developed an eSignature Legality Guide that explains the laws and practices for each country.
How many documents can I send in a signature request?
You can only send one document at a time for an eSignature. However, it is possible to combine multiple documents into a single PDF document and send the PDF in the signature request. Refer to Merge Documents into a Single PDF for guidance on how to open documents as a single PDF.
What file types can I send for an eSignature?
DocuSign supports various file formats including documents, images, presentations, and spreadsheets. Refer to the DocuSign Support website for more information.
Can I use our company's own brand logo and colour scheme?
DocuSign have various branding options for both senders and recipients of signature requests. Refer to the DocuSign Support website for more information.
How large a file can I send using DocuSign?
File sizes of up to 25Mb are supported by DocuSign. For best performance, DocuSign recommends restricting your file uploads to no more than 5MB in size. Refer to the DocuSign Support website for more information.
Is it possible to select an individual within Diligent Entities as a signee?
Signees must be manually added to the signature request.
Can I set the order in which required signees sign the document?
Yes. Refer to Sequential signing for more information.
Can I change the required signees?
It is not possible to change the signees on a signature request awaiting signature. To change a signee, you must first cancel the request via the eSignatures Quick Reports Dashboard. Once a request has been cancelled, the document can be resent to new signees.
Where are documents located when they are sent for eSignature?
Documents are copied to the DocuSign servers in order for eSignatures to be collected. When signing up to DocuSign, you can select a region for your account. Refer to Data residency for more information.
How can I view the expiration date of a signature request?
You can view the expiration date in your DocuSign management portal.
How do I manage my signature requests?
Requests sent out for eSignatures can be managed from the eSignatures Quick Report.
Can anyone else manage my signature requests?
Only the user who created an eSignature request can manage them.
Can I revoke a sent signature request?
A sent signature request can be cancelled or deleted. The option to do so is provided on the eSignatures Quick Report page.
Can I revoke eSignatures permissions for a user?
Yes. Permissions can be revoked through user roles. However, be aware that once a user has sent at least one signature request, they will still be able to view the eSignatures Quick Report, even after the permission is revoked.
What happens after a document is signed?
Once a document has been signed, the creator of the signature request can choose to check the document back in to its original location in Diligent Entities, or save it to a local machine.
Can I cancel a completed signature request?
Once a signature request is complete and the document is checked back into Diligent Entities, it cannot be cancelled.
Can I see how many envelopes I have used?
Yes. To view that information, you need to log in to your DocuSign account and generate a report following the steps outlined in the How do I see how many envelopes my account has used? topic on the DocuSign Support site.
Alternatively, if your DocuSign account has been provided by Diligent, send a request to entitiessignatures@diligent.com to ask for the number of envelopes you have used.
