Deleting columns and records

You can delete records or columns from the Table View to permanently remove them from the table. This is useful when verifying data is imported correctly, and you want to delete the records from your import test run once the verification is complete.

Note

Only Professional Managers can complete these tasks.

You cannot undo deletions

Once you delete a record or column, the data is permanently removed. You cannot access or restore deleted records.

Delete columns

Note

In some cases, you cannot delete columns from tables that were created by Diligent One to support the operation of another feature (for example, Certifications generates its own data structure).

  1. Open the Results app.
  2. Navigate to the collection and analysis that contains the table you want to update.
  3. Click the table title or, to the right, the number of records that table has.
  4. In the table, select the column header of the column you want to delete, and at the bottom of the pop up, click Delete Field.

    You cannot delete metadata columns (Priority, Status, Published, Publisher Name, Updated, Closed, Assignee, and Workflow Group) or primary key fields.

    Caution

    Any metrics, triggers, or visualizations that depend on a column you delete are broken and must be manually corrected. Ensure that a column has no such dependencies before deleting it.

  5. In the confirmation dialog box, click Delete. The column is permanently removed. The deleted column is logged within the audit trail of each record in the table.

Delete selected records

Note

In some cases, you cannot delete records from tables that were created by Diligent One to support the operation of another feature (for example, Certifications generates its own data structure). You can delete these tables by deleting the project that generated them in the Projects app.

  1. Open the Results app.
  2. Navigate to the collection and analysis that contains the table you want to update.
  3. Click the table title or, to the right, the number of records that table has.
  4. In the table, select the record or records you want to delete. The Process Records panel opens.

    Tip

    Use the checkbox in the header row if you want to select all records.
  5. Do one of the following:
    • To delete a single record, at the bottom of the panel, click Process record #n and then click Delete
    • To delete all selected records, at the bottom of the panel, click Process n checked records and then click Delete
  6. In the confirmation dialog box, click Delete. The selected records are permanently removed. The row numbers used to identify the deleted records in the table are not re-allocated, even if you append new records to the table.

Delete all records

Note

In some cases, you cannot delete records from tables that were created by Diligent One to support the operation of another feature (for example, Certifications generates its own data structure). You can delete these tables by deleting the project that generated them in the Projects app.

  1. Open the Results app.
  2. Navigate to the collection and analysis that contains the table you want to delete.
  3. For that table, click and click Settings.
  4. At the bottom of the page, do one of the following:
    • To delete all records from the table, click Delete records.
      Note

      This option removes all records from the table and all data columns imported from another source. It does not remove:

      • Diligent One-generated columns like metadata or columns from linked questionnaires
      • Settings for that table
      • Interpretations and visualizations (you will not be able to open any interpretations until the data needed to generate the interpretation is available)
      • Metrics
      • Triggers
    • To delete all records and the table, click Delete everything.
  5. Click Delete in the confirmation dialog box.
