Import data from a file

Import data from a .csv or .xlsx file to add records to an empty Data Analytic.

Only Results Admins, Professional Managers, or Professional Users can complete this task.

Selecting data types

During the import process, Results suggests a data type for each column. You can confirm these data types, or if necessary, select a different data type than the process suggests. For example, you can display a number as character data instead of the suggested numeric type.

Import requirements

Data Analytic must be empty

The Data Analytic you want to import data into must not contain any existing rows or records before you perform the import. If necessary, you can delete existing records, first.

Note

Excel formatting is not preserved during the import and any formulas are imported as the result of the calculation rather than the formula itself. The first row is treated as the column display header.

The combined number of data columns and questionnaire columns cannot exceed 500.

Caution

Ensure each column has a unique name. Duplicate columns are automatically removed regardless of the data contained within them.

Caution

The upload will fail if the file size is larger than 10 MB.

Note

If your table file size is large, but less than 10 MB, you may receive an error message saying the upload has timed out, but your records will still upload successfully. To see your records in Diligent One, you may have to wait and refresh the page.

Field name considerations when round-tripping Results data

If you are round-tripping data between Results and Analytics, you need to ensure that all field names in the Results table meet the more stringent Analytics field name requirements. If you do not, you risk misaligning your Analytics and Results data.

For example, any special characters in Results field names are automatically converted to underscores when they are imported into Analytics, which means the field names no longer match the original names in Results. If you then export the Analytics data back to the original table in Results, fields are no longer correctly matched.

To avoid this problem with data that you intend to round-trip, make sure that before you upload the data to Results from CSV or Excel files it meets these Analytics field name requirements:

  • no special characters or spaces
  • does not start with a number
  • contains only alphanumeric characters, or the underscore character ( _ )

Note

You cannot upload data to a table that was created by the Certifications feature in Projects. These tables are empty, initially, but are populated by the certification process itself.

  1. Open the Results app.
  2. Navigate to the collection and analysis that contains the empty table you want to import to.
  3. Click the table title. The Import Data page opens. If you just created a Data Analytic, this page automatically opens.
  4. To specify the file you want to import, do one of the following:
    • Drag the file into the Drag & Drop uploader.
    • Click Choose a file from your computerand select the file from your local machine.
  5. If you want to use different data types than Results suggests, use the dropdown lists to specify the data type for each column in the table.

    Note

    Ensure the data type for each column is appropriate as you will not be able to change these later. For more information, see Supported data types.

  6. To complete the import, click Confirm Data Types.
