Adding questions and updates
You can update inactive questionnaires and view details about a questionnaire. To create the questionnaire, see Creating a questionnaire.
Before you add questions, it is helpful to read about the Question Types so that you organize the questions to display correctly in each third-party's Case Assigned to a third party profile related to a questionnaire sent for response, due diligence investigation, or other action. Management, Folder tab.
Add a question
You can add questions to an inactive questionnaire.
- Select Settings then Content Control.
- Select Form A form is a questionnaire to gather information. Builder.
- On the Form Listing, select the questionnaire with Active set to No.
- On the Manage Application Content page, Questions Listing select a question's radio button to add a new question under that question. If no question is selected, the question is added to the bottom. There can be multiple pages of questions.
- Select the Add Question button.
- Select the Question Type The type of third party, for example, Channel Partner, Vendor, Supplier, or DO NOT ENGAGE.. Select from standard questions or select a type in the Add New Question category to create a new question. For details, see Question Types.
- Use the Question Editor to format the question, including formatting, images, and links.
In Forms 2.0, to add a variable, select the placeholder Placeholders are variables populated when the output is generated. For example, the [[Company Name]] placeholder may be used in an email notification or questionnaire. button, then select the Placeholder Name. For example, the placeholder [[Company Name]] inserts the third-party company name.
You can select the button to format notifications in HTML. Select Save Content while the Source is open. - You may select Required to force user to answer the question. If you select Required, enter a Validation Message, such as "This question is required."
- To separate questions for readability, select Horizontal line above and Yes.
- Depending on the Question Type, you may have other fields to complete. See Question Types.
- Under Cloning Options, select Never Clone to prevent cloning the same question in forms which are copied from another form.
- Select the Update Possible Answers button before saving for the questions to be available.
- Select the Save button.
View information and make updates
The steps to view information and make updates follow.
- Select Settings then Content Control.
- Select Form Builder.
- On the Form Listing, select the questionnaire.
- On the Manage Application Content page, the following sections display. At any time, you can select Back to List to return to the grid listing all the questionnaires.
- Form Properties section: Update the Description and view other form properties. Select Export Form to export the form to an Excel worksheet that can be used to import a new version of the form or imported to a new form as a copy of this one.
- Versions section:
- Version: You can switch between versions, which are often created to make updates to an active questionnaire. You can only update questions on an inactive version. For more details, see Create multiple versions of a questionnaire.
- Language: Select the language to create a questionnaire in another language.
- Active: If Active is selected, the version of the questionnaire is Active and you cannot update the questions. The Active version is the one presented to users. See Activate a questionnaire.
- View/Hide Version History: When you view the version history of the questionnaire, you can see each version of the questionnaire, make updates, and select Save Details. You may:
- Select the Active radio button to make a version active. Once Active, you cannot revert to an earlier version, but you can create a new version.
- Select Create Version to add a new version. See Create multiple versions of a questionnaire.
Important
You can add questions to a renewal form or a new version of an existing form. Do not repurpose any existing questionID.
- Version: You can switch between versions, which are often created to make updates to an active questionnaire. You can only update questions on an inactive version. For more details, see Create multiple versions of a questionnaire.
- Questions Listing section:
- Update question: Select an existing question to make an update. For example, you can select the Logo question and add a logo image in the Question Editor.
Not all fields of built-in questions are editable. Questions on Active questionnaires cannot be changed. You can create a new version of an Active questionnaire to edit and, later, make active. See Create multiple versions of a questionnaire. - Add Question button: See Add a question earlier in this topic.
- Preview Form button: Select to view how the questionnaire is laid out and many of the functions.
- Generate a PDF button: Select to generate a static PDF of the questionnaire.
- Delete Selected button: Select the radio button on the right of a question then select Delete Selected to remove the question.
- Move Selected Up and Move Selected Down buttons: Select the radio button on the right of a question then select up or down to move the question. Note that questions often span several pages.
- Update question: Select an existing question to make an update. For example, you can select the Logo question and add a logo image in the Question Editor.
- Form Properties section: Update the Description and view other form properties. Select Export Form to export the form to an Excel worksheet that can be used to import a new version of the form or imported to a new form as a copy of this one.
- In the Dependencies section, use Dependencies to display a question based on the response of an earlier question. Dependencies can only be used for Dropdown List and Radio Button types. For details, see Create question dependencies.
- Select the Update Possible Answers button.
- Select the Save button.
